Vehicle Accident Instructions

Vehicular accident is defined as any accident occurring between an NC State vehicle (owned or rented) and another vehicle, pedestrian, animal or fixed object.

What to do in case of an accident

  • Call Law Enforcement 911 to investigate all vehicle accidents. (If the emergency is on campus, calling 911 will alert University Police and Fire Safety services.)
    • If someone is injured, request medical assistance. If fire is involved, request fire department aid.
    • Answer questions from the law enforcement officer on scene.
    • Give identifying information to the other party involved, but make no comments about assuming responsibility.
    • Get the Driver Exchange form, from the law enforcement officer, before leaving the accident scene.
    • Record the names of witnesses along with their telephone number(s).

It is incumbent upon the employee to ensure that all facts are obtained with respect to the other driver. NC State employees should not admit fault or liability or make any statement relative to guilt or responsibility. Employees should provide law enforcement with the facts related to the accident

  • Take pictures at the scene of the accident.
    • Pictures should show the damage(s) to the state-owned vehicle and other vehicle(s) involved. These pictures should include the entire vehicle along with close-up angles of the damage.
    • If NCSU property was damaged due to the accident, take pictures of the damaged area.
  • Call your supervisor
  • Complete the Supervisor Incident Report
    • Accidents must be reported to your supervisor immediately.
    • Download, complete and give the incident report to your supervisor.
  • Origami Risk System
    • Contact your department’s Origami Vehicle Coordinator to complete an incident report in Origami Risk.
    • Provide the following items to your OVC to assist them in completing the report in a timely manner.
      These are to be attached to the incident report in Origami:

      • Driver Exchange Form
      • Supervisor Incident Report
      • Photos taken at the accident scene
      • Rental agreement (if not a state-owned vehicle)
      • Citation (if applicable)

Vehicle Accident Involving another State Vehicle

If your loss is the result of damage by another state vehicle, there is no coverage under the insurance program and Travelers will not handle either claim. The departments involved will be responsible for working together to secure repair estimates and coordinate those repairs. Origami Vehicle Coordinators should enter the accident and claim details in the Origami Risk system for record purposes.

Vehicle Accident Involving another Person

If your loss is the result of damage by another person, the department will work with the other party’s insurance carrier for repairs. Origami Vehicle Coordinators should enter the accident and claim details in the Origami Risk system for record purposes.
